LEGAL NOTICE

A) GENERAL CONDITIONS

INTRODUCTION

These General Conditions of Sale and Use on the Internet apply to all services offered by MCI on behalf of its principal, International Mineralogical Association (IMA), in the context of the organization of the 23rd General Meeting of the International Mineralogical Association (IMA 2022).

Services can be ordered only by Users who have read the whole of these General Conditions of Sale and Use on the Internet and the Special Conditions published in the programme of the Epigenetics & Cancer conference and accepted them by a click or where applicable by telephone before each order.

MCI reserves the right to modify these General Conditions of Sale and Use on the Internet at any moment without prior notice, on the understanding that such modifications shall not be applicable to reservations previously accepted by MCI. All Users undertake to comply with the General Conditions of Sale and Use on the Internet, and in particular to pay all sums due and to accept the conditions and limits of liability relating to the availability of services offered.

USE

The purpose of the Site is to assist Users in their search for information and services relating to the event presented, and if necessary to make appropriate reservations. The User (often indicated by “You”, “you” or ”yourself” in the following text) is financially liable for all use made of the Site both in his/her own name and in the name of third parties, including minors unless it can be shown that there has been fraudulent use that does not result from fault or negligence on his/her part.

You also guarantee the sincerity and accuracy of all information provided by yourself or any third party using your data on this Site.

In the event of any use of the reservation service provided by this Site that is fraudulent or in breach of these General Conditions of Sale and Use on the Internet, MCI reserves the right at any time to refuse access to the Services offered by the said Site.

ON-LINE RESERVATION

You can order the services that are offered by the Site. The ordering procedure involves at least the three following stages:

  • You click on the services or services of your choice.
  • A summary lists all your choices and the total price, allowing you to check the details of your order.
  • Provided you have accepted these General Conditions of Sale and Use on the Internet you can then validate your order.
  • The sales contract is then valid.
  • You can only pay for your order on-line, in secure mode, using your credit card.

MCI will send a confirmation of your order by e-mail as soon as possible, with essential details such as the identification of the Service ordered, the price, the quantity and any associated reservations.
PLEASE NOTE: As an exception to point 6 above, orders for services (session and meeting reservations) or accommodation that you have validated will be confirmed only subject to availability; these orders may be refused in the event of non-availability (for whatever reason) at the date and time indicated; your reservation is definitely confirmed only if MCI has not indicated a problem with the reservation by letter or e-mail within 5 days following your reservation. If your demand cannot be satisfied MCI naturally undertakes to reimburse the sum paid for the non-confirmed service.

You are responsible for ensuring that the identification you provide with your reservation is correct and will enable you to receive the confirmation of the reservation and/or benefit from the services ordered. If you receive no confirmation it is up to you to contact MCI.

All the details given in the confirmation of the reservation shall be considered as representing the contract between the parties if MCI has not disputed them by letter or e-mail within 5 days following your reservation or if you have not disputed them by registered letter with proof of delivery within a period of 15 days. They can however only be disputed insofar as they differ from the terms of your order.

All conditions relating to cancellation, possible modification of orders and/or reimbursement are set out in the General Conditions of the event.

BADGE SCANNING & PERSONAL DATA

All participants may have their badge scanned when entering the congress venue or attend certain sessions. The scan is solely used for overall attendance tracking and crowd control, on an anonymous basis. Symposia organizers, as well as exhibitors, may use scanning devices for marketing or compliance reasons at the entrance of a sponsored session or in the Exhibition Area. By allowing a sponsor to scan your badge at the entrance of a Satellite Symposium, or at a booth, you express consent to them for receiving your personal data (such as name, address, e-mail address, phone number) collected during your congress registration.

DELIVERY

Unless otherwise stipulated, all documents relating to the event (badges, tickets, invitations) ordered on the Site must be picked up at the event venue, at the earliest on the opening day indicated in the programme or on the information site.

You are solely and entirely responsible for entering full and correct information that will enable MCI to provide the services reserved on the Site.

SALE

Payment for the Services you order must be made directly at the moment of ordering by communication of your credit card number by means of a secure system (Carte Bleue, Visa, Eurocard / Mastercard and American Express cards are accepted).

In the event that the payment is irregular, incomplete or non-existent for reasons that can be attributed to you the sale of the services concerned shall be cancelled, any costs shall be charged to you, and, according to circumstances, civil or criminal proceedings may be taken against you.

CANCELLATION AND MODIFICATION

Please refer to the General Conditions in the programme of the event.

International Mineralogical Association (IMA) as the Organisers and MCI as the Organising Secretariat cannot be held responsible for the interruption or the cancellation of the event due to Force Majeure. In case of cancellation, cancellation conditions stated above will apply. Registration to the event implies the acceptance in full of the general terms and conditions. Likewise, and especially in case of risk of harm to any person’s security (and independently from any case of force majeure), the event organisers reserve the right to change the event location and, if necessary, to move the event to another country than the one initially planned. The cancellation conditions still shall apply and the event organisers strongly recommend that participants take out adequate insurance cover for cancellation.
It is advised to all participants to obtain travel insurance (health, accident, repatriation, cancellation) before leaving their country of origin. ICAM 2020 organising associations and MCI do not bear any responsibility in case of an accident caused to a participant or accompanying person during or following the event or during any event organised in conjunction with the event.
